Who we are

This website is operated by Ian Marks, trading as West Suffolk Roofing Services, based at 3 New England Stud Cottages, Newmarket, CB8 0XA. We are the data controller for the personal information we hold about you, as defined in the UK GDPR and the Data Protection Act 2018.

What personal data we collect

  • Information you give us when you contact us: name, email address, telephone number (if provided), address of the property you're asking about, and any details you include in your enquiry.
  • Limited technical information processed automatically to keep the website secure and working properly (for example your IP address in server logs). We do not use analytics, tracking, advertising, or visitor-monitoring tools.

How we use your data and our lawful basis

  • To respond to your enquiry and provide a quotation — lawful basis: taking steps at your request before entering a contract, and our legitimate interest in running our business.
  • To carry out roofing work you have asked us to do — lawful basis: performance of a contract with you.
  • To keep records for tax, accounting, and insurance — lawful basis: compliance with our legal obligations.
  • To keep the website secure — lawful basis: our legitimate interest in protecting our systems.

We do not sell your personal data and we do not use it for marketing.

Who we share your data with

We share personal data only with trusted third parties who process it on our behalf, including our website hosting provider, our email provider, and, where relevant, our accountant. Where a provider processes data outside the UK, we rely on appropriate safeguards recognised under UK GDPR (such as the UK International Data Transfer Agreement or Addendum).

We may also disclose personal data where required by law, for example to HMRC or in response to a lawful request from an authority.

How long we keep your data

  • Enquiries that do not lead to work: usually up to 24 months, then deleted.
  • Customer records and invoices: at least 6 years after the end of the tax year, to meet HMRC requirements.

How we keep your data safe

We use reasonable technical and organisational measures to protect your information from loss, misuse, and unauthorised access, including access controls on our email and devices and reputable hosting providers.

Your rights

Under UK data-protection law you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct information that is wrong.
  • Ask us to delete your data, where the law allows.
  • Ask us to restrict or object to how we use your data.
  • Withdraw any consent you have given, at any time.
  • Ask us to transfer your data to another provider, where applicable.
